Quantum Roof Tech’s website, demos, and chatbot platform are addressed more specifically in the Quantum Roof Tech Privacy Policy. That service-specific policy governs the activities it describes if its description differs from this general policy. Neither policy replaces a client’s own privacy notices or our obligations under applicable client agreements.
1. Information We Collect
Depending on your relationship with us and the services involved, we may collect the following information.
Contact and business information
This may include your name, company name, job title, email address, telephone number, mailing address, website address, service interests, and information you provide about your business or marketing needs.

You may also provide photographs, videos, logos, testimonials, website content, or other materials for use in your projects. These materials may contain personal information.
Billing and payment information
We may collect billing contacts, billing addresses, invoices, transaction records, payment status, and information needed to process payments. Payment information may be processed through third-party payment providers, subject to their applicable privacy and security practices.
Account access information
When necessary to provide requested services, we may receive authorized access to websites, domains, hosting accounts, advertising accounts, analytics platforms, business listings, social media profiles, customer relationship management systems, email platforms, or other business tools.
This access may expose information maintained in those systems, including account contacts, customer inquiries, campaign records, and usage data.
Communications
We may collect emails, text messages, chat conversations, meeting notes, call details, attachments, and other communications with our employees, contractors, or automated systems.
Where recording or transcription is used, we may also collect audio recordings, transcripts, and summaries, subject to applicable notice and consent requirements.
Chatbot information
When you use our website chatbot, we may process your questions and messages, contact or business details you provide, conversation history, generated responses, feedback, files submitted through available features, and technical context needed to operate the conversation.
Marketing and mailing information
In connection with direct mail, advertising, or other marketing services, we may receive contact lists, mailing addresses, business or property information, audience criteria, lead information, and campaign response data.
This information may come from clients, public sources, mailing-list providers, business-data providers, campaign platforms, or people who respond to a campaign.
Website and device information
We may automatically collect IP addresses, browser and device information, operating systems, referring websites, pages viewed, approximate location, visit dates and times, and interactions with our website or communications.
Cookies and similar technologies may collect identifiers and usage information.

- Process payments, issue invoices, and maintain accounting records.
- Communicate about projects, approvals, appointments, performance, and support.
- Deliver leads and campaign reports to the appropriate client.
- Analyze campaign performance and improve our services.
- Document communications and maintain records of consent.

- Send information about our services, where permitted by law.
- Protect systems, prevent misuse, resolve disputes, and comply with legal obligations.
We may also use aggregated or de-identified information for reporting, research, and service improvement.
3. Information We Process for Clients
Some information we handle belongs to or is collected on behalf of our clients. Examples include customer lists, website inquiries, advertising leads, mailing lists, and information stored in client accounts.
When we process personal information on a client’s behalf, our handling of that information is governed by the applicable service agreement, any applicable data-processing terms, the client’s instructions, and applicable law.
The client’s privacy policy generally describes how that client collects and uses information about its customers and prospects. This policy does not replace those notices.
If your information was submitted to one of our clients and you want to exercise privacy rights, please contact that business directly. If you contact us, we may refer your request to the appropriate client and assist as required.
4. Recorded Communications, OpenAI, and Artificial Intelligence
We may record or transcribe calls, meetings, and other communications for documentation, quality assurance, personnel training, service improvement, workflow automation, and security. We provide notices and obtain consent where required by applicable law. This policy does not replace any separate consent required for recording or other processing.
We may use AI-assisted tools to summarize communications, organize project information, analyze campaign data, assist with content or deliverables, and support other service-related tasks. These activities may involve processing messages, recordings, transcripts, uploaded files, project instructions, or relevant client materials through AI, transcription, communications, or software providers. Client information remains subject to the agreements and instructions described in Section 3.
Our website chatbot uses OpenAI technology. Messages and other information you submit, including contact or project details and files submitted through supported features, are transmitted to OpenAI and other providers supporting the chatbot to generate responses and operate the service. Conversation history and technical context may also be processed to maintain the interaction.
We and the providers supporting the chatbot may retain and review conversations to respond to inquiries, provide follow-up, troubleshoot problems, maintain security, and administer the service, subject to applicable agreements and law. Retention depends on the services and features involved. Learn more about OpenAI’s API data controls.
Please do not submit passwords, full payment card details, government identification numbers, sensitive health information, or confidential information you are not authorized to share through the chatbot. You may contact us by email or telephone instead of using the website chatbot; those communications remain subject to the other provisions of this policy.
AI-generated responses may be incomplete or inaccurate. A chatbot response does not modify this Privacy Policy, provide a separately required consent, or establish a promise about how personal information is handled.
AI assistance does not guarantee marketing results or replace professional judgment. Use an agreed secure method when providing account credentials or sensitive information needed for services. References to personnel training or service improvement do not themselves authorize unrestricted use of confidential client information to train general-purpose AI models.
5. SMS and MMS Communications
If you opt in to text communications, we may send messages related to your inquiry or client relationship, including appointment reminders, operational updates, service notifications, project questions, campaign information, lead delivery, and administrative communications.
Unless separately agreed in writing, client messaging services are intended for communication between our business and the client.
We do not send marketing or promotional text messages to customers or prospects unless they have separately provided express written consent to receive those messages.
Message frequency varies. Message and data rates may apply. Consent to receive text messages is not a condition of purchasing goods or services.
You may reply STOP to opt out or HELP for assistance. You may also contact us at [email protected] or 800-795-2187. After an opt-out request, we may send a nonpromotional confirmation message. We honor other reasonable methods of withdrawing consent as required by law.
We do not sell or share mobile numbers, SMS opt-in information, or messaging consent with third parties or affiliates for their own marketing or promotional purposes.
We may provide necessary information to telecommunications providers, messaging platforms, and other service providers that help operate our messaging services.
Consent to receive messages from us does not authorize unrelated businesses to send their own promotional text messages.
6. Cookies, Analytics, and Advertising Technologies
We use cookies, pixels, local storage, and similar technologies to operate the website, maintain sessions, remember preferences, understand website activity, and measure marketing performance. Some information can be transmitted when a page or embedded service loads, even if no cookie is stored.
Privacy Choices and Opt-Out Controls
The Opt out of advertising button turns off advertising tracking while leaving your current analytics choice unchanged. If you have not previously turned analytics off, Google Analytics remains enabled. To change analytics separately, open , adjust the Analytics switch, and select Save choices. You can also select Turn all tracking off in Settings to disable both categories. Previously saved choices are preserved. Our Global Privacy Control handling continues to disable both analytics and advertising.
Our website uses an opt-out approach to optional analytics and advertising tracking. These technologies, including Meta Pixel and Google Analytics where used, may begin operating when you visit, before you make a choice, unless your browser communicates Global Privacy Control or we have a saved preference turning that category off. Continued browsing is not treated as affirmative consent.
Use the control available on our website to turn off optional analytics, advertising tracking, or both. Turning off advertising tracking opts you out of this website’s browser-based disclosures through Meta Pixel that may qualify as a sale, sharing, or targeted advertising. Necessary technologies used to operate the site and remember your preferences remain available.
We check saved preferences before starting optional tracking. When your browser sends Global Privacy Control (GPC), our website disables both optional analytics and advertising tracking, even if you previously enabled them. These categories cannot be enabled through our controls while the signal remains active.
Your choices are stored in a first-party preference cookie for up to 182 days and apply to this website in the browser you are using. Choices do not automatically carry across our other websites, devices, or browsers. Clearing cookies, using another browser, or expiration of the preference cookie may require you to make your choice again. We also use local storage to notify other open tabs on the same website when your choice changes.
Turning off tracking that is already active reloads the page to stop the loaded tracking code; save any unfinished form first. An opt-out applies going forward and does not recall information already sent. We attempt to remove the relevant analytics and advertising cookies we can access, but cannot remove cookies held on another provider’s domain. You can also manage cookies through your browser and use Google and Meta’s privacy controls.
These website controls do not unsubscribe you from email or text messages, delete information previously collected, or prevent us from processing information you submit through forms, chatbots, or other services you use. For other privacy requests or help if the controls do not work, contact us using the information below.
Google Analytics
Where we use Google Analytics, we use it to understand website usage. Google may receive information about pages visited, interactions, referral sources, browser and device characteristics, approximate location, and cookie or similar identifiers.
Learn more at How Google uses information from sites or apps that use its services. Google also offers a Google Analytics opt-out browser add-on.
Meta Pixel
We use Meta Pixel, also called the Facebook Pixel, on our website to understand visits and interactions and measure advertising performance. Depending on the features and settings used, it may also support audience creation, retargeting, and personalized advertising.
Meta may receive information such as your IP address, browser and device characteristics, pages visited, referring pages, cookie or similar identifiers, and interactions with the website or advertisements. Meta may associate this information with information it already holds about you. Its handling of information is subject to Meta’s Privacy Policy and applicable agreements and law.
Advertising Disclosures
We do not sell personal information for money. However, disclosures through advertising technologies may qualify as a “sale,” “sharing,” or processing for targeted advertising under applicable state privacy laws, even when no money changes hands. Applicable rights depend on the law and whether it covers our activities. See the privacy choices below to submit an opt-out request.
These advertising disclosures do not override the restrictions in this policy on sharing mobile numbers, SMS opt-in information, or messaging consent for another business’s own marketing or promotional purposes.
7. How We Disclose Information
Service providers and contractors
We may disclose information to people and companies that help deliver our services, including providers of hosting, domain services, email, cloud storage, payment processing, accounting, analytics, advertising, printing, mailing, telecommunications, AI, cybersecurity, and business software.

Advertising and technology platforms
When managing campaigns or accounts, we may disclose information to the relevant platforms as necessary to provide the requested services, subject to applicable agreements and legal requirements. Google and Meta may also receive website information through the analytics and advertising technologies described in Section 6. OpenAI and providers supporting our chatbot are described in Section 4.
Professional advisers and legal recipients
We may disclose information to attorneys, accountants, collection providers, authorities, or other appropriate recipients when reasonably necessary to obtain advice, collect amounts owed, comply with law, enforce agreements, investigate misuse, or protect rights and safety.
Business transactions

At your direction
We may disclose information when you request or authorize us to do so.
The SMS privacy restrictions above apply to messaging consent and mobile information used in our text messaging program.
8. Portfolio and Promotional Materials
As permitted by our client agreements, we may use work product, campaign examples, screenshots, anonymized results, and non-confidential portions of deliverables to demonstrate or promote our services.
Clients may request in writing that their work not be used for these purposes, as provided in the applicable agreement.
Permission to display work product does not by itself authorize public disclosure of confidential customer records, private lead details, account credentials, payment information, or SMS consent records. Personal information included in promotional materials remains subject to applicable privacy requirements.
9. Data Retention
We retain personal information for as long as reasonably necessary to provide services, maintain client relationships, document communications, administer accounts, resolve disputes, protect security, and satisfy legal or accounting obligations.
Retention periods vary based on the information, its purpose, contractual requirements, and applicable law.
Information processed on behalf of clients may also be subject to their instructions and applicable service agreements.
10. Data Security
We maintain reasonable administrative, physical, and technical safeguards designed to protect personal information against unauthorized access, use, modification, or disclosure.
No website, communications system, storage platform, or electronic transmission can be guaranteed to be completely secure.
11. Your Privacy Choices and Rights
